What is an APOSTILLE?

An Apostille (pro. uh-paa-stil), also known as Authentication, is the process of certifying the authenticity of the signature, seal and position of the official who executed, issued or certified a copy of a public document. An Apostille allows a public document issued in one country to be recognized as valid in another country.

If you plan on living, working, or studying abroad you may need to have certain documents Apostilled before going to specific countries. These documents could include Birth Certificates, Marriage Certificates, and more. Hague Convention countries often require you to have an FBI Background Check completed and have your results Apostilled as well.

How do I get a document Apostilled?

Simply put, you call PRESS and PRINT at Hallmark Signings. We make the process of getting your document(s) Apostilled simple and easy, taking the stress and burden off of you.


The process can vary dependent upon which country you will need your document(s) authenticated for. This is why you need an Apostille Agent to get it done efficiently and accurately. We walk you through the process step-by-step and help you understand what is needed to get your document(s) Apostilled the first time, every time!

What is the Process?

See below to get an overview of the Apostille Coordination process with PRINT and PRESS.


  • STEP 1 - CONSULTATION

    When you call us for Apostille Coordination services, our agent will ask you a series of questions to obtain more information from you to get started?

    • Name
    • State of Residency
    • Type of Document(s) you will need Apostilled and/or Legalized
    • Time for completion of document(s)
    • Origin State of Document(s)
    • Country of destination where the document(s) will be used
    • Are the documents already notarized

    By asking these questions it can help us better understand what steps need to be taken to accurately execute this process.

  • STEP 2 - APOSTILLE AGENT RESEARCH

    After the initial consult, the Apostille Agent will begin researching exactly what is needed to complete your Apostille order. From filing fees to Embassy specifications for legalization of documents, we will ensure we obtain all the information before we proceed with your process.

  • STEP 3 - FACE TO FACE MEETING

    After the Apostille Agent has completed research, you will receive another phone call to ensure you have all the documents needed for your Apostille request.


    Common documents needing Apostillisation are Vital Statistics Documents such as:

    • Birth Certificates
    • Death Certificates

    Note: When needing Vital Statistics Documents Apostilled, you must ensure you have the original document that has been signed by the Court Registrar.


    The agent will let you know the presentation of documents needed (original or certified copy) to bring with you to the meeting. When you arrive your documents will be notarized and/or reviewed for correct execution (i.e. ensuring they were notarized correctly according to State Notary Laws). The agent will also collect the portion of fees needed for completing the next steps in the process.


    *Note: The Apostille Agent is not an Attorney licensed to practice law in the State of Tennessee and may not give legal advice. If you have any questions about the content of your document(s), such as Power of Attorneys, PRINT and PRESS recommends contacting a licensed attorney before submitting your document(s) for Apostillisation.

  • STEP 4 - GET YOUR DOCUMENT(S) APOSTILLED

    Once your document(s) and your first fees have been collected, your agent will then start the process to get your document(s) officially Apostilled. This process can vary depending on which country you are traveling to.


    If you are traveling to a Hague Country, your documents will only need to be Apostilled at the State level. If you are going to using the document(s) in a Non-Hague Country, they will need to be authenticated at the State Level, then with the US Department of State, and finally presented to the Embassy of the country you will be traveling to for legalization.


    The Apostille Agent will submit your documents for Apostillisation and wait for them to be returned via FedEx or UPS.

  • STEP 5: PROCESS COMPLETION

    Once your completed Apostilled document(s) have been received, the Apostille agent will notify you via email and call you to schedule a follow up meeting. Upon meeting, the Apostille Agent will provide you with your completed document(s) and obtain the remaining payment for your coordination services.

Fees for Apostille Coordination can vary greatly depending on the need. Because there can be filing, travel, and courier fees required during different points in your process, it is hard to say what the total cost of your specific Apostille service will be.
